Auto-Enrolment Payroll Case Study

Andronicas World of Coffee have been clients of Payroll Options for many years and were confident of assistance when they were due to stage for Auto-Enrolment in January 2015. They were concerned as their workforce is variable, often paid hourly, and they anticipated that there would be multiple problems with the implementation and ongoing administration of a pension scheme.
Alan, was also ill in the period leading up to the staging date and had to do much of the preparation from home. As well as the letter from the Pension Regulator, he was sent a letter by Payroll Options three months before his staging date. At the outset, Chad delivered an informative yet brief presentation on Auto Enrolment, detailing the main obligations from an employer’s perspective and how he could help. Chad requested data from Payroll Options to analyse the workforce and provide a comprehensive report, and so enable a recommendations for a suitable scheme. He was provided with a clean and reliable data set, which meant Chad was very confident with his report’s construction. The report provided detailed information on auto-enrolment, employer duties, compliance and the costs of running a scheme. It enabled Alan to decide what type of scheme they were going to offer to staff and agree the scheme rules.
Once decisions had been made with regards to how the scheme would operate, Chad sourced a scheme with a reputable provider which could work with Andronicas. This, together with the Payroll Options assessment and reporting tools, will ensure minimal yet effective compliance going forward.
Chad was able to provide assistance throughout the process. The correct letters were sent out at the correct time and the recommended records and signatures kept. The staging date arrived, Payroll Options completed the payroll with no fuss in the usual way, except Alan also received pension reports and a file of data.
The pension report from Payroll Options was very clear, and Alan sent the correct letters to the correct members of staff using mail merge templates from Chad. The pension schedule data was very straightforward to upload to the pension company, and by February Alan had already completed his declaration of compliance with The Pension Regulator.
Alan has had a very smooth introduction to Auto-Enrolment Pensions, 22 of his 50 or so staff are now enrolled in a pension scheme and he is very confident moving forwards.
